What It’s Like to Work Together: Inside My VA Onboarding Process (Part 4 of 4)

Throughout this series, we’ve talked about reasons for hiring a VA or OBM, common misconceptions around virtual support, and how to find the right support for  your business

Now for the final piece of the puzzle:

What actually happens after you decide to move forward with support?

One of the biggest questions business owners have when hiring a VA is:

“Okay… but what does the process actually look like?”

And honestly, that’s a fair question.

Because bringing someone into your business can feel vulnerable, especially if you’ve been managing everything yourself for a long time.

That’s why my onboarding process is designed to feel collaborative, organized, and simple from the very beginning.

So here’s a behind-the-scenes look at what it’s actually like to work together for VA support and how we begin creating support that helps lighten the day-to-day workload inside your business.

Contract & Getting Started

Once a new client and I have decided to move forward and get started working together, I’ll always begin by sending over a contract outlining:

  • scope of support

  • monthly retainer details

  • communication expectations

  • overall working expectations

I believe contracts are important because they create clarity and protection for both sides from the very beginning. They help ensure we’re aligned on expectations, boundaries, communication, and responsibilities so everyone feels confident moving forward.

Once the contract and first invoice are completed, we officially reserve our start date and begin the onboarding process together.

A Quick Note on Retainers: 

I personally love working on a retainer model because it creates consistency and allows me to provide ongoing support instead of reactive, one-off help. I always track my hours regardless of how backend billing is processed so we can continue evaluating where support is most needed as your business grows.

Retainers also create clarity around the level of support you can expect from me each month while allowing me to intentionally dedicate time within my schedule to support your business well.

The goal isn’t just to complete tasks.

It’s to create support that helps your business run smoother overall.

Access & Business Setup

Once onboarding officially begins, we start gathering access to the tools and platforms needed for collaboration.

This may include:

  • email platforms,

  • project management tools,

  • client management systems,

  • shared drives,

  • scheduling tools,

  • and communication platforms.

And if your systems feel a little messy right now? That’s okay.

I will definitely nerd out in organizing your processes so we are both on the same page and things feel good. No need to clean the house before the house cleaner arrives.  

Priorities & Workflow Planning

Before diving fully into ongoing support, we establish priorities.

This helps us identify:

  • what tasks can be delegated first,

  • what recurring responsibilities need support,

  • where organization is needed most,

  • and how we can create smoother workflows moving forward.

Every business operates differently, so this phase is very personalized based on your goals and workload.

Some clients need help staying organized.

Others need support with client communication, backend admin work, content support, or helping manage the day-to-day details that tend to pile up .

The goal is to create a workflow that feels supportive.

Ongoing Support & Communication

Once onboarding is complete, we move into ongoing collaboration and support.

I’m really open to your preferred communication style, whether it’s via Slack, email, or even text. I don’t have a rigid preference, because my goal is to make things as easy as possible for you. 

If we haven’t communicated recently during the week, I’ll send a brief end-of-week update so you’re always in the loop, highlighting what I’ve accomplished and any priorities for the next week. 

And depending on your needs, I always try to schedule either a weekly check-in or at minimum, a monthly project check-in. This is a time for us to sit down, discuss new initiatives, evaluate where we’re at, and brainstorm how I can continue to best support you.

My vision for a partnership is to be flexible, and provide reliable communication where stay aligned, proactive, and ready to adapt as your business grows.

Hiring a VA Shouldn’t Feel Intimidating

You don’t need to have perfectly organized systems before getting VA support. You don’t need to have everything figured out before reaching out.

You simply need to recognize when it’s time to stop carrying every single piece of the business alone.
